It is possible to change the booking parameters, enable notifications about created or cancelled bookings and set up a gaming center schedule, which specifies when workstations can be booked on the booking portal. To do it, go to Booking Module > Settings.
Before setting up, make sure that the correct office is chosen in the top left corner.
Changeable parameters include the following:
- Deposit - the amount required for booking a PC. It is calculated as a percent of the cost of PC/console renting according to the rate that is valid at the selected booking time. The amount is "frozen" on gamers' accounts when creating the booking and "defrosts" when gamers log in to the system when their booking starts.
- No-show penalty - the amount of money that is debited from users' accounts in case of no-show.
The amount of deposit and penalty are set up as a percentage, you can set it from 0 to 100%.
- Minimum booking period (min) - the minimum period for which a gamer can book a PC/console on the portal.
- Time that gamer will have to authorize (min) - the time window provided to the client in order to access the reserved workstation. For example, if it’s 15 minutes, PC/console reservation is at 17:00 and until 17:15 a gamer doesn’t log in, the penalty will be charged from the client's balance (if it's set up). The rest of the deposit amount, frozen during the booking creation, will be refunded to the gamer's balance. If a gamer paid the deposit by card, money will be refunded to the balance as well.
- Time before booking starts (min) - the period of time before the start of the booking when the PC or console switches into the "busy" status. For example, if it’s 15 minutes, then 15 minutes before the booking time, other gamers won’t be able to log into this workstation.

- Start of notifications about the upcoming booking (min) - the start of sending notifications about the upcoming booking. These notifications will be sent to the gamer who is playing on the booked PC. If it’s 15 minutes and the PC is booked by gamer 1 at 17:00, but gamer 2 is using it, then starting at 16:45 gamer 2 will receive notifications with a reminder to vacate the place by 17:00. If player 2 doesn't do it, then the session will automatically end at 17:00. Such notifications are not sent to the console.
- Interval between notifications (min) - the periodicity of the above-mentioned notifications about upcoming bookings. That is, how often notifications will be sent: every minute, every five minutes, etc.;
- Minimum expected session duration (min) - the minimum period when a PC/console with an active session is unavailable for booking on the portal.
- Maximum expected session duration (min) - the maximum period when a PC/console with an active session is unavailable for booking on the portal.
By default, the system considers gamers’ balance and determines how much time they can play. The minimum and maximum expected session duration parameters define how much time a PC with an active session will be unavailable for booking on the portal. For example, if minimum expected session duration is 5 minutes and gamers have money only for 3 minutes, a PC will still be unavailable for booking for at least 5 minutes. If maximum time is 1440 minutes and gamers have enough money to play 1440 minutes, a PC will be unavailable for booking these 1440 minutes. If the amount on the balance in terms of minutes according to the rate is in the range from 5 to 1440, a PC can be booked immediately after the end of the session. If the amount on the balance in terms of minutes exceeds 1440, a PC can still be booked after 1440 minutes, since this is the maximum value, and it is impossible to set more than 1440.
For all parameters except deposit and penalty, minimum value is 0, maximum - 1440.
Notification settings
Set up reminders for reservations and your customers will be notified about a scheduled visit to your gaming venue at the predefined time, at least one hour before their sessions begin.
Enable notifications about the created and cancelled bookings so that gamers can always check the status and date of their bookings. The message will be sent via email or phone if the registration by phone is enabled. Be sure to check that this information is up to date. Employees receive notifications via email only.
Notifications about created bookings are available for reservations created on the portal only. Cancelled booking notifications are sent after a reservation is cancelled by a venue employee in CAP.
Schedule for bookings
If the gaming center doesn’t operate 24/7 or you want to limit the time for booking PCs, set up a gaming center schedule for external bookings. In this case, booking of PCs on the portal will be available only at the specified time.
Promo codes and passes on the booking portal
Activate this option in Booking → Settings to make the booking portal display a window for entering the promo code.
If you want players to be able to buy a pass when booking a workstation, activate the availability of passes on the booking portal. Thus, after selecting a PC or console, the player will see a window with available passes.
