The group booking feature allows visitors to book multiple PCs and pay for their reservations using just one account.
Group bookings for consoles are not available.
To create a group booking, a player needs to:
- Go to the booking portal, select the date and time of the booking.
- Select a PC. The first PC selected will be booked for the user who creates the booking and deposits.
If the gaming venue allows pass purchases through the booking portal, a window containing passes will open after selecting the first PC. Passes are only offered to users that make a group booking. The chosen pass is credited to the account of the user who makes the booking and is available to that player only. The window containing passes won't show up for other selected PCs.
- Select PCs for other players. A special icon will appear near the main PC.
- The player can enter a promo code in a designated field and proceed to pay for the booking with a balance or credit card. The amount to be paid includes the cost of the pass for the main PC (if it was added) and the deposit for all selected workstations.
The price of the pass and deposits for all PCs will be listed considering any personal or loyalty program discounts that a player may have. Making a deposit does not add to the player's balance after the booking is made because the money is "frozen" on the balance at the time the booking is made and "unfrozen" when the customer logs in to the system at the time of the booking.
Following the successful formation of the booking, a letter containing the booking date, PCs numbers, codes for accessing PCs, and the penalty, which will be written off in the event of a no-show, will be sent to the player's email. Make sure that notifications about created bookings are enabled in Booking module → Settings.
In the My Bookings tab of the portal, players can view booking details, find codes, and cancel bookings.
Except for the main PC, a special code is provided to each booked PC, which must be entered on the login screen before the booking time begins. After that, the PC will be unlocked and the player will be able to log in in any convenient way, for example, with a receipt or as a regular customer by entering their login and password. The user who created the booking must log in with the username and password used on the portal.
Important! After entering the code, the deposit is returned to the balance of the player who created the booking. If one of the players does not enter the code, the amount of the deposit for this PC is returned to the balance of the player who created the booking, minus the no-show penalty. For example, if a booking was made for a group of 4 players and 2 of them didn't show up or canceled the booking after the PC had turned to the "booked" status, the penalty would be removed only from these two PCs. The penalty is removed as a percentage of the paid deposit for each PC.
The "time before booking starts (min)" parameter controls when the PC enters the "booked" status and can be adjusted in Booking module → Settings.
An employee can see the group booking on the grid in the Booking module section. The login of the player who created the booking will be displayed for all booked PCs. The main PC is marked with a special icon.
An employee can change the booking time or the booked PC for each active booking separately. These adjustments will only affect the booking being changed and will not affect the settings of other workstations added to the group booking. To reschedule a booking, click on the icon of the active booking.
If the main PC's booking is canceled (marked by a special icon), the booking is removed from the remaining PCs in the group booking. The deposit will be returned to the balance of the user who created the booking. If an employee deletes a booking on a PC that is not the main one, the group booking will remain active and will be deleted only for the selected PC.
Turn on the notifications about created bookings in Booking module → Settings to warn players when an employee cancels a booking.
